How to Manage Your Video Assets Like a Pro

Establish a root folder structure

Create a top-level folder system before you store a single file. A clean structure separates source videos from processed clips, and client or project work from internal content. A reliable structure is: /[Year]/[Client or Project]/[Source Videos], /[Year]/[Client or Project]/[Clips], /[Year]/[Client or Project]/[Published]. This structure scales as your library grows without requiring reorganization.

Tip: Date your top-level folders by year (e.g., /2024, /2025) rather than by project alone. Over time, year-based organization makes archiving and storage cleanup far easier.

Define a file naming convention

Every file should be named to answer three questions at a glance: What is it? When was it made? What version is it? Use this format: [Project]_[Description]_[YYYY-MM-DD]_v[N].[ext]. For example: Acme_ProductLaunchClip_2024-08-10_v1.mp4. Never use spaces (use underscores or hyphens), never use generic names like 'final_FINAL_v3_REAL.mp4', and never leave files named with camera defaults like MVI_0024.mp4.

Tip: Add the target platform to clip file names when exporting multiple formats: Acme_ProductLaunchClip_2024-08-10_TikTok_v1.mp4. This prevents confusion when you have three versions of the same clip for three platforms.

Separate source files from derivatives

Always store your original long-form source videos separately from any clips, exports, or processed versions. Source files are your master assets — they should never be overwritten or moved to an archive without a backup. Clips generated by OpenClip are derivatives and can always be regenerated from the source, which means they can be deleted to save storage once published.

Tip: If storage space is limited, source files are the only assets that truly need to be kept long-term. Exported clips and caption files can be regenerated from the source whenever needed.

Tag and log your clip library

For teams or agencies managing high volumes of clips, a simple asset log in a spreadsheet or Airtable database pays dividends. Log each clip with: file name, source video, creation date, platform(s), approval status, publish date, and a performance notes field. This transforms a folder of files into a searchable, queryable library.

Tip: Add a 'Reuse Potential' column to your asset log. Mark clips that performed well or contain evergreen content as candidates for repurposing in future campaigns. OpenClip makes re-exporting these clips in new formats quick.

Set up a clear archive policy

Decide what gets archived (moved to cold storage or deleted) and when. A sensible policy: source videos are archived 12 months after their last clip was published, published clips are archived 6 months after publishing, unpublished rejected clips are deleted within 30 days of rejection. Communicate this policy to your team and document it so no one accidentally archives active assets.

Back up your source videos

Source videos are irreplaceable. Clips can be regenerated. Implement a 3-2-1 backup rule for source files: 3 copies, on 2 different media types, with 1 copy off-site or in cloud storage. At minimum, source videos should exist in two locations (e.g., local drive + cloud storage) at all times. Tip: Run a monthly backup audit — check that backups are current and that files can actually be opened. A backup that can't be restored is not a backup.

Conduct a quarterly asset audit

Schedule a quarterly review of your asset library. During the audit: confirm your folder structure is still being followed, identify orphaned files with no clear project home, delete rejected clips past their retention window, check backup integrity, and update your asset log with any missing entries. A 30-minute quarterly audit prevents months of chaos later.

Tip: During your audit, also flag clips that performed exceptionally well. These are candidates for re-exporting in new formats via OpenClip — for example, turning a top-performing TikTok clip into a LinkedIn post version.
